Recommended Backups for Your eClinicalWorks Server
If your healthcare facility is using eClinicalWorks EMR software, there are several data sources which need to be backed up to ensure your medical records are safe. If you are not certain this data is being backed up, please contact Proven Backup or eClinicalWorks to ensure these key data sources are being backed up:
1. The Database – You need to back up the entire directory titled “<Drive Name>\eClinicalWorks\mySQL\data”. For example, if the database is on your C drive, the directory will be titled “C:\eClinicalWorks\mySQL\data”.
2. Scanned Documents & Images – Scanned documents, medical records and images are stored on an FTP site on the eClinicalWorks server. The FTP site will contain “DocTemplates” and “Patients” folders. To protect these data sources, you need to back up the entire FTP folder titled “<Drive Name>\eClinicalWorks\FTP”. For example, if the documents, records & images are on your C drive, the directory will be titled “C:\eClinicalWorks\FTP”.
3. OB Database (for OB/GYN healthcare facilities) - – You need to back up the entire directory titled “<Drive Name>\eClinicalWorks\OBDB”. For example, if the database is on your C drive, the directory will be titled “C:\eClinicalWorks\OBDB”.
Your healthcare facility should backup these eCW data sources on a daily basis.
In addition to the daily backups recommended above, eClinicalWorks also recommends a monthly backup of the eCW server installation. That installation will be titled one of three things, depending on the version of eClinical that your healthcare facility uses:
· <install drive>\eClinicalWorks directory (e.g. F:\eClinicalWorks directory)
· Program Files\eClinicalWorks directory
· C:\ecw directory
If you have questions about where your eCW medical record files are located, contact eClinicalWorks or Proven Backup.
